What Does the Supplier Performance Scorecard Measure?
The workbook measures seven key supplier performance metrics.
1. On-Time Delivery
Measures whether the supplier delivered the purchase order on or before the required delivery date.
An optional grace period can be applied where appropriate.
On-Time % = On-Time Purchase Orders ÷ Eligible Purchase Orders × 100
2. In-Full Delivery
Measures whether the supplier delivered the required quantity.
A configurable under-delivery tolerance can be used where your business allows small quantity variances.
3. OTIF — On Time In Full
OTIF combines delivery timing and quantity.
A purchase order is considered OTIF only when it is:
On time + delivered in full
This is particularly useful because a supplier can deliver on time but still create an operational problem by delivering insufficient quantities.
OTIF % = OTIF Purchase Orders ÷ Eligible Purchase Orders × 100
4. Supplier Quality %
Measures the proportion of received units that were free from defects.
Quality % = Defect-Free Units ÷ Units Received × 100
This allows you to identify suppliers whose delivery performance looks acceptable but whose products are creating quality problems.
5. Fill Rate %
Measures how much of the ordered quantity was actually received.
Fill Rate % = Units Received ÷ Units Ordered × 100
Fill rate provides additional visibility into short shipments that may otherwise be hidden by an overall supplier score.
6. Lead-Time Variance
Compares the supplier’s actual delivery lead time with its quoted or agreed lead time.
Lead-Time Variance = Actual Lead Time − Quoted Lead Time
A positive result means the supplier took longer than promised.
For example:
- Quoted lead time: 10 days
- Actual lead time: 15 days
- Lead-time variance: +5 days
The workbook scores lead-time performance against defined tolerances rather than treating every delay as identical.
7. Price Variance %
Measures the difference between the actual unit price and the agreed supplier price.
Price Variance % = (Actual Unit Price − Agreed Unit Price) ÷ Agreed Unit Price × 100
A positive variance indicates that the actual price paid was higher than the agreed price.
This can help identify supplier price creep that may otherwise remain hidden in invoice data.
How Is the Supplier Score Calculated?
The individual supplier KPIs are combined into a weighted score out of 100.
The default weighting is:
- OTIF – 30%
- Quality – 25%
- Fill Rate – 15%
- Lead-Time Adherence – 15%
- Price Adherence – 15%
- Total – 100%

A supplier averaging one day late should not necessarily receive the same penalty as a supplier averaging six days late.
